Situation
This client’s IT organization embarked on efforts to mature its partnership with the business and improve IT delivery. The intent of the program is to improve the platforms and processes for how IT does project, program and portfolio management in order to drive increased through-put and ensure they are undertaking the right projects for the business. Select components of Phase 1 of the initiative included:
- Developing and implementing the first iteration of a technology tool that would act as a one-stop shop for project managers to access process steps and templates
- Implementing an enhanced schedule management process and tool
Action
Developed and implemented a comprehensive change management roadmap and communications including:
- Training - Developed training strategy and approach for varied audience of approximately 350, brown bag training sessions and materials for all PM community and their executives and 1 on 1 coaching session approach and materials for PM community
- Communications- Developed communications strategy/ messaging and all program communications including program webinars, executive roadshows and newsletters
- Initiative measurement strategy - Drafted comprehensive measurement strategy for how we would measure adoption and business results for initiative
- Super User / Adoption Champions - Creating a tiered super user structure to support end users as they implement
Results
The initiative is in process of launching the 2nd phase. The first phase continues to be monitored and has shown positive trending in identified adoption metrics. Elements such as new project schedules and the PM technology tool are becoming more widely adopted in the organization. The senior executive team considers this effort as one of the biggest successes of the last 12 months.
